Terms of participation
The ground rules for taking part in YCB projects — what you can expect from us and what we expect from you.
Last updated: 7 July 2026
Applications and selection
Anyone within a project's age range and from an eligible country may apply. Selection is fair and non-discriminatory: we prioritise motivation, first-time participants, balanced groups, and applicants with fewer opportunities.
Applicants under 18 need the written consent of a parent or legal guardian before their participation is confirmed.
What is covered
Participation, accommodation, and meals are free of charge, funded by the Erasmus+ programme of the European Union.
Travel costs are reimbursed after the project up to the Erasmus+ distance-band amount for your departure city, under the conditions described on the Reimbursement page.
Deposits
Some projects require a small refundable deposit (stated on the project page) to confirm your spot. It is returned in full after the project, provided you attend the full programme and complete the evaluation and the EU participant survey. If you cancel late without a serious reason or do not show up, the deposit may be kept to cover the costs your spot caused.
Reimbursement conditions
Only the cheapest reasonable fare is reimbursed — economy class, standard seats, booked with common sense.
Required documents: original electronic tickets and invoices (PDF) showing your name, route, date, and price, plus boarding passes for all flights. Screenshots, forwarded emails, and photos of paper tickets are not accepted.
Documents and bank details must be submitted within 30 days after the activity. Reimbursement is paid after full attendance and completion of the EU participant survey.
Behaviour and safety
Every participant agrees to the project's code of conduct: respect for others, no discrimination or harassment, and — for participants under 18 — no alcohol, in line with our child safeguarding policy.
Serious breaches can lead to being sent home at your own (or your guardian's) cost. We have never had to do it; let's keep it that way.
Photos and media
We take photos and videos on projects for reporting and to show what Erasmus+ makes possible. Photo consent is asked separately and is voluntary — declining never affects your participation, and you can withdraw it at any time.
